How invoice activity works

Last updated: October 9, 2026

Someone sent you an invoice or quote with Zen, and you opened it. Here's exactly what that page records, who sees it, and how to stop it.

What's recorded

When you open a shared invoice or quote, or download its PDF, Zen records:

  • the time;
  • an approximate location: city, region and country, worked out from your internet connection (it's often a nearby city, or your provider's or VPN's location);
  • the type of device and browser, for example "iPhone · Safari".

What isn't

  • Your IP address is never stored. We use it for a moment to look up the approximate location, then keep only a one-way hash so repeat visits count once.
  • No precise location, no cookies, and no tracking across other websites or apps.
  • Nothing is sold or shared, or used for advertising.
  • Automatic visits, such as email security scanners and link previews in chat apps, aren't counted.

Who sees it, and why

Only the business that sent you the document, and people on their Zen team, can see it, so they know you received it. Zen processes it for them under our Data Processing terms.

How long it's kept

12 months, then it's deleted automatically. It's deleted sooner if the sender deletes the document or their account.

How to stop it

  • Turn on Global Privacy Control in your browser (built into Firefox, Brave and DuckDuckGo, or available as an extension). Zen won't record your visits, and the page will confirm it.
  • Ask the sender. They can turn invoice activity off for their whole account.
  • Ask us to delete what was recorded about you, or with any question: privacy@zeninvoice.io.

Your rights

Under the GDPR and the CCPA you can ask to access or delete this information, and object to it being recorded. Read more in our Privacy Policy.
